Now In: Web Programs - Schedule A Meeting

What We Are Demonstrating:
Something that Outlook and other scheduling programs cannot do: schedule a meeting where recipients are in different locations, different time zones, with different daylight savings rules, on different calendars, with different workdays rules, observing different holidays.

In this example, we have selected a series of events that are known to each country, expressed in the context of that country's calendar. For the purposes of this demonstration, the local office will be closed to observe their local events. The Head Office is the location that is scheduling this meeting and it can either participate in the meeting or simply organize the meeting between other locations. The Head Office is scheduling the meeting from the context of their calendar. It is the custom in locations like London, Canberra and Wellington to display the calendar starting with Monday, while the custom in New York is to display the calendar from Sunday. We reflect those customs here.

In this example, we have created a workday which may or may not have flexibilities attached to it. In its workday rules, Tel Aviv has a work date that is fixed to the (local) time of sunset, other locations can deviate from the general work day pattern by several hours. The Tel Aviv sunset rule changes the day length - summer days being noticeably longer than winter days, so therefore the times for intersection with Tel Aviv on this particular day are greater in summer than in winter.

To see the workday and the local holidays of each office click on the city button and details will fill next to the city list. To schedule a meeting select a date and check the cities you want to be included in your meeting. Our little web program will tell you all the times that the participating cities intersect and can display the results in the calendar system of the head office as well as the local office.

Instructions:
1. Select your Head Office city from the popup and click "Change"
2. Check the checkboxes next to the cities who will be included in your meeting
3. Select a day (or days) you want the meeting to take place on the calendar below
4. Click Schedule.
5. Our little web program will show you the cities that can participate and the times they are available.
